An Administrative Withdrawal requires the prior completion of the Compliance Process. Completion of the Compliance Process can take 15-20 days. You must have prior approval from your Director in order to request an Administrative Withdrawal. The Withdrawal Survey must be completed by the HST within 48 hours of the completion of the Compliance Process.
Upload both Non-Compliance letters in Student Notes on the bottom of the student’s dashboard.
1. Notify others of the start of the Withdrawal Process (IA, Enrichment, SPED Teacher (if applicable))
2. Enter Grades in Pathways – Since family is being unresponsive, the report card options default to the following:
- TK-8: HST creates a report card, but a copy is NOT filed in the student’s cumulative record TK8
- High School Report Card Options
HS Option 1: Student finished semester. Full credit will be listed on transcript
HS Option 2: Withdrawal Progress RC Informational grades only, no grades will appear on transcript HSFor courses attached to the HST: HST enters grades earned to date in the Semester Report Card. Please enter “0” credits for all courses Please add withdrawal grade information in the comments section. HST finalizes Semester Report Card. 3. Gather General Information
- Type of Withdraw: Administrative Withdrawal
- Student First and Last Name
- Student Date of Birth
- Grade Level
- SSID
- Is student SPED designated?
- Last Day of attendance? (Last day of verifiable attendance)
- School/District student will be enrolling
- Grade-Level-Specific Report Card Option
- Reason for Leaving? (Align with Exit code E140)
4. Complete the Withdraw Survey and document entry in Contact Manager.
Items to be completed by IA/SPC ONLY
Keep track of all notifications of withdrawal for your team and calendar for follow up with the HST within 24 hours of notification
1. When you receive a notification of withdrawal, verify the last day of verifiable attendance is correct. Correct date with the HST is necessary.
2. Follow up with HST (and HQT if applicable) if grades are missing
3. Confirm grades (and credits, if applicable) have been entered in the correct location based on parent selected option
4. Confirm all documentation is in Contact Manager and/or Global Notes as required
5. Review Withdrawal Survey responses to confirm withdrawal has been submitted
6. If the Withdrawal request has not been submitted within the designated time period, follow up the HST and provide a deadline for completion. Follow up until completed.
7. If a withdrawal has not been processed within 7 days of entry into the Withdrawal Survey, follow up with Records Department to determine what is preventing the withdrawal from being completed
8. Best Practice: Set a regular weekly time to follow up on pending withdrawals.
