How to Formally Withdraw a Student

Formal withdrawal for students with attendance and work samples

1. Document withdrawal notification from parent, legal guardian, or adult student 18 or older.

  • Written notification must be uploaded in Student Notes on the bottom of student’s dashboard

  • Verbal notification should be noted in Contact Manager

2. Notify others of the start of the Withdrawal Process (RC/SPC, Enrichment, SPED Teacher (if applicable), and your SAA).

3. Schedule Withdrawal Meeting within 5 days of notification and review the following:

  • Review grades
  • Provide withdraw report card
  • Collect all technology and non-consumable items
  • Document items collected and/or missing on the student inventory
  • Collect all attendance logs and work samples (Must be uploaded before completing survey)

Note: If the family is unable to meet within the 5 days, please collect work samples and attendance logs via email and collect technology and non-consumables at a later time when the family is available. If the family is not responsive, ensure you have documented all attempts to contact in Contact Manager. If the family withdraws in the middle of a Learning Period, you will need to print out a blank attendance log manually and provide it to the family.

Enter Grades in Pathways based on report card option.

K8 Report Card Options:
TK8 Option 1: HST creates report card and copy is filed in student’s cumulative record
TK8 Option 2: HST creates report card, but copy is NOT filed in student’s cumulative record
TK8 Option 3: No report card is generated

HS Report Card Options:
HS Option 1: Student finished semester. Full credit will be listed on transcript
HS Option 2: Withdrawal Progress RC Informational grades only, no grades will appear on transcript HS


For courses attached to the HST:

HST enters grades earned to date in the Semester Report Card. Please enter “0” credits for all courses Please add withdrawal grade information in the comments section. HST finalizes Semester Report Card. Please see HST Handbook for step-by-step guide on how to enter grades and credits in Pathways.

For courses attached to HQT:

  • HST notifies the Highly Qualified Teacher (HQT) of student withdrawal and request final work samples
  • Final Grades with credits: HST request the HQT enter grade and credits earned in the final Semester Report Card. Please verify HQTs have entered a “W” and “0” credits for courses the student has not started. When all grades have been entered, HST finalizes the Semester Report Card.
    Note: Please get report card option in a written/email confirmation

5. Gather general information

  • Type of Withdraw: Formal
  • Student First and Last Name
  • Student Date of Birth
  • Grade Level
  • SSID
  • Is student SPED designated?
  • Last Day of attendance? (Last day of verifiable attendance)
  • School/District student will be enrolling (Very Important for reporting purposes)
  • Grade-Level-Specific Report Card Option
  • Reason for Leaving? (Align with Exit code)

6. Complete the Withdrawal Survey and document entry in Contact Manager

7. Return Non-Consumables to appropriate location
